Creating Offer Letters for Hourly Employees

Agora's offer letters give you the ability to create offers for employees paid on a hourly basis.

Agora's offer letters give you the ability to create offers both for salaried employees as well as employees paid on a hourly basis.

Here's an example of what an hourly offer looks like:

Note: Adding equity and/or benefits to your Agora offer letter is optional based on what is included in that candidate's compensation package. If your hourly employees have a different benefits package, you can create one in the Benefits Settings page!


Creating an Hourly Offer

To create an hourly offer in Agora:

  1. Navigate to Offers.

  2. Click New offer.

  3. Enter the Offer Details.

    1. To change any compensation information for this employee:

      1. Click comp philosophy.

      2. Using the associated fields, enter and/or select the relevant information.

  4. Within the Compensation section:

    1. From the Base salary field, select "Hourly" from the associated dropdown. The remaining fields will update based on this selection.

    2. From the same field, now called Hourly salary, adjust the currency as needed and enter the relevant salary.

    3. Adjust the currency and fill in the Hourly annual base salary field, as needed.

    4. Select an option from the Exemption status dropdown, as needed.

    5. When enabling the Is eligible for overtime toggle, the associated Overtime pay rate field appears. Adjust the currency and fill in this field, as needed.

    6. When enabling the Is eligible for holiday pay toggle, the associated Holiday pay rate field appears. Adjust the currency and fill in this field, as needed.

    7. Expand the Variable compensation & bonuses section and fill in the associated fields, as needed.

    8. Fill in the remaining compensation fields, as needed. Depending on your Equity communication settings, some fields may differ.

  5. Click Create Offer.

  6. From this Offer Details page, click the candidate's unique offer URL to preview how the offer is presented to the candidate.

  7. Review the details and navigate back to the Offer Details page to make any necessary edits.


Using the DocuSign Integration with Hourly Offers

Agora's DocuSign integration allows candidates to generate their legal offer document when one has been included in their Agora Offer Letter by the offer assignee (creator). During offer creation, the assignee selects the appropriate template based on the variables or values they’d like included. See the following example:

The amount displayed in the “{{BASE_SALARY}}” value above is pulled from the amount entered in the Hourly salary field in the offer creation form.

We recommend having an hourly-specific offer letter template including the base salary value within the surrounding contextual language, such as:

You will be paid {{BASE_SALARY}} per hour

The DocuSign integration supports the following hourly specific values:

  • {{HOURLY_SALARY}}

  • {{ANNUAL_HOURLY_SALARY}}

  • {{OVERTIME_HOURLY_RATE}}

  • {{HOLIDAY_HOURLY_RATE}}


Creating Hourly Offers Using the Greenhouse Integration

Creating hourly offer letters through the Greenhouse integration requires using the Base salary field in Agora in conjunction with the Base salary pay period dropdown within Greenhouse.

Creating hourly offers using Greenhouse requires the creation of a new Base salary pay period field, which must be done in Agora.

To create a new Base salary pay period field:

  1. Navigate to the Greenhouse Mapping page within Agora.

  2. Click Base salary pay period.

    1. This will create a new custom field in your Greenhouse offer form. For more information about field mapping, see Greenhouse field mapping.

  3. Within Greenhouse, from the Base salary pay period dropdown, select “Hourly.” This works the same as the Base salary field in Agora.

    Note: If your Greenhouse offer form has a separate field for hourly rate, please reach out to Agora Support to discuss custom configuration.
